ESSENTIAL DUTIES AND RESPONSIBILITIES
The following duties are normal for this position. These are not to be construed as exclusive or
all inclusive. Other duties may be required and assigned.
? -Talks with customers by phone or in person and receives orders for installation and/or shipment.
Consistently and efficiently enter accurate orders relative to customers’ instructions and corporate
guidelines. Expect accuracy rate of 98 to 100 percent.
? -Fills out appropriate forms, determines charges for additional services/ product options
requested, collects deposits, updates customer records, and issues orders.
? -Addresses complaints concerning billing or service rendered, referring complaints of service
failures to designated departments for investigation.
? -Answer customer queries provides explanation about products.
? -Send emails, faxes and news letters to prospects and customers.
? -Send quotations, literature and proposals to prospective customers.
? -Coordinate with other departments to ensure that products are shipped in time. Track and
communicate with customers for shipments scheduled for weeks ahead.
? -Confirm with customers about the delivery products.
? -Inform sales executives and managers about product delivery.
? -Prepare reports, sales brochures, price lists, discount offers and other sale documents.
? -Participate in sales meetings on the advice of the sales manager or director.
? -Demonstrate positive, professional behavior toward work, customers, colleagues, and

? -Identify continuous improvement opportunities associated with sales administration and pricing
? -Develop and maintain a comprehensive understanding of the information systems used to
execute and manage sales transactions (order entry system, production system, email system,
? -Prioritize activities to provide maximum benefit to the sales team.
? -Answer overload telephone calls in attempt to satisfy callers’ requests before passing to other

? -Be customer focused and take initiative to proactively resolve issues.
? -Execute special assignments involving key measurables for the Sales Administration department
(such as x-matrix action plans, customer deliveries, procedures information, pricing information,
etc.). Identify opportunities for improvement. Closely monitor all assigned projects and take
appropriate action to ensure their successful completion. Report project progress to manager
and team members as appropriate.
